Start with the policy, not last year's reminder
An insurance renewal is easier to coordinate when the team can find the current policy and explain what still needs confirmation. A calendar alert is only the starting point. This checklist is for organising documents and responsibilities, not choosing insurance or deciding whether a risk is covered. Ask your insurer or authorised adviser about the terms that apply to your business. Do not assume that a quotation, payment request or renewal conversation means replacement cover is already in force.
Build one clear record for each policy
Capture the named insured, insurer, policy number, policy period and the location of the schedule, wording and any endorsements. Identify the company, location or activity the record relates to so similar names do not get mixed together. Assign one internal owner and a backup contact. If the policy specifies a time of expiry, preserve that information in the working record rather than reducing it to a date without context. Verify the details against the current documents, not an older spreadsheet row.
Prepare a change summary for the renewal discussion
Before asking for renewal terms, ask the relevant colleagues what has changed since the last review. Your internal list could include premises, activities, equipment, staffing or contact details, depending on the policy. Treat this as a discussion checklist rather than a statement about disclosure obligations. The insurer or adviser should tell you which information is required. Record unanswered questions and who is obtaining the answer, instead of letting assumptions move from an informal conversation into an approval request.
Work backwards from the confirmed policy period
Choose internal preparation, review and approval targets that leave time for your actual process. For example, a fictional trading business might start collecting documents six weeks before its policy ends, discuss terms four weeks before, and seek approval two weeks before. Those are planning choices, not UAE deadlines or an assurance of sufficient time. Ask the insurer or adviser about their requirements and adjust for unresolved questions, inspections or other dependencies. A later policy amendment may also require the schedule to be reviewed.
Give the approver a complete decision pack
Put the current documents, proposed renewal terms, outstanding questions and the requested decision in one approved location. Record which quotation version is being considered and when it was received. Avoid summarising a policy only as a price and an expiry date: that can hide differences that a qualified reviewer needs to assess. The operations owner's role is to organise the evidence and obtain a clear decision, while the responsible adviser explains coverage, exclusions and any changes in terms.
Separate requested, paid and confirmed
Use distinct working statuses for information requested, quotation under review, approval given and replacement documents received. Keep the payment evidence where appropriate, but ask for confirmation of the new policy period and check the issued documents. If something is missing near expiry, escalate the exact question to the responsible contact instead of changing the tracker to renewed. Preserve the conversation reference and next follow-up date so a colleague can continue the work without repeating the entire discussion.
Check the replacement record before closing
Compare the named insured, policy reference, dates and requested changes with the documents received. Refer discrepancies to the insurer or adviser for clarification. Keep the previous version according to your organisation's retention policy and store the replacement in the correct company folder.
